1. Who we are

Kyubic is a B2B local customer network engine for local businesses. It helps businesses retain customers, understand repeat-customer signals, receive explainable partnership recommendations, request local partnerships, and run consented reciprocal customer introductions through WhatsApp-native workflows.

This Privacy Policy explains how MUHAMMED ANAS K, sole proprietor trading as Kyubic collects, uses, shares, retains, and protects personal data when operating Kyubic. It is published as a direct public privacy policy URL for Meta app review and for users, businesses, and customers who interact with Kyubic-connected WhatsApp experiences.

2. Data we collect

Business account data: business name, owner or admin name, email, phone number, address, city, business category, subscription status, billing metadata, onboarding details, support records, and workspace settings.
Meta and WhatsApp integration data: WhatsApp Business Account IDs, phone number IDs, display phone numbers, template status, catalog IDs, webhook delivery statuses, message IDs, conversation metadata, and related technical records needed to operate the integration.
Customer and conversation data provided by businesses: imported contacts, WhatsApp numbers, customer names where provided, messages, conversation context, catalog questions, cart and order details, address details, support issues, opt-out or consent indicators, and referral metadata.
Partnership and campaign data: partnership ads, request and consent records, proof and risk indicators, broadcast decisions, referral links, campaign delivery events, repeat purchase signals, ROI indicators, and outcome learning records.
Payment and invoice data: plan, amount, currency, Razorpay order or subscription identifiers, payment status, invoice or receipt references, terms version, and legal URL references. We do not store full card numbers.
Device and log data: IP address, browser or device information, timestamps, security logs, error logs, webhook logs, audit records, and abuse-prevention signals.

3. How we use data

Provide, secure, maintain, debug, and improve the Kyubic service.
Operate WhatsApp agent workflows for customer retention, catalog questions, carts, order previews, order creation, and support.
Generate explainable local partnership recommendations using proof, risk, confidence, retention, referral, fatigue, credit, and WhatsApp eligibility signals.
Create and manage partnership requests, consent records, reciprocal broadcast decisions, referral tracking, and campaign outcomes.
Process billing, invoices, receipts, subscriptions, trials, support, fraud checks, account notices, and legal notices.
Detect abuse, spam, unsafe messaging, policy violations, security incidents, and unlawful activity.
Comply with applicable Indian law, Meta and WhatsApp platform obligations, payment-provider requirements, court orders, and lawful requests.

4. Data roles

For business admin account data, billing data, security logs, support records, and Kyubic service operations, Kyubic may act as a data fiduciary, controller, or equivalent legal role under applicable law.

For end-customer data that a business imports or receives through its WhatsApp/customer workflows, the business usually decides why and how that data is collected and used. In those cases Kyubic processes the data to provide the service to that business and to operate consented partnership workflows.

5. Sharing

We do not sell personal data. We share data only where reasonably needed for the service, safety, support, billing, law, or platform operation.

Meta and WhatsApp, to operate WhatsApp Business Platform messaging, webhooks, templates, catalogs, delivery events, and platform compliance.
Payment providers such as Razorpay, to process payments, mandates, invoices, fraud checks, refunds, and disputes.
Hosting, database, analytics, email, support, security, and infrastructure providers that help us operate Kyubic.
Partner businesses only where a Kyubic partnership flow or referral flow requires ad previews, proof indicators, consent records, campaign metadata, or referral attribution.
Authorities, courts, regulators, law-enforcement bodies, payment providers, or platform providers where required by law or necessary to protect rights, safety, security, and integrity.

6. Meta and WhatsApp data

When a business connects WhatsApp Business Platform through Kyubic, we process WhatsApp-related data to deliver the requested business messaging, customer retention, partnership, catalog, order, and support workflows.

We process Meta/WhatsApp user data only for the business purpose authorised by the connected business and for service operation, security, compliance, debugging, and legally permitted records. We do not use WhatsApp user data for unrelated advertising.

7. Retention

We keep data while a workspace is active and for as long as needed for service operation, security, billing, tax, accounting, dispute handling, fraud prevention, backup recovery, legal compliance, and legitimate business records.

When deletion is requested, we delete or anonymise eligible data after verifying the request. Some records may be retained where required or permitted by law, including invoices, payment records, tax records, security logs, abuse-prevention records, dispute records, and backup copies until they expire from normal backup cycles.

8. Your rights and choices

Business admins can request access, correction, export, deletion, or account closure through support or the grievance email below.
End customers can contact the business they interacted with, or contact Kyubic if they believe Kyubic holds data connected to a WhatsApp interaction.
Users can request data deletion using the public data deletion instructions page.
Businesses must honour opt-outs and should not import or message people without valid consent or another lawful basis.

9. Security

We use reasonable technical and organisational safeguards to protect data, including access controls, operational logging, provider security controls, and abuse monitoring. No system, messaging channel, payment flow, or third-party integration is perfectly secure.

10. International processing

Kyubic may use service providers whose systems process or store data outside India. Where cross-border processing occurs, it is for the purposes described in this Policy and subject to applicable law, contracts, platform terms, and provider safeguards.

11. Children

Kyubic is not directed to children and is intended for business use. Businesses must not use Kyubic to knowingly collect or process children's personal data unless they have all required authority, notices, consent, and legal compliance for their sector and use case.

12. Changes

We may update this Privacy Policy as Kyubic, law, Meta/WhatsApp requirements, or our service providers change. The updated version will be published on this page with a revised date.
